Course Access and Account Inactivity Policy

How long a Learner Portfolio stays open, the reminders we send before closure, and how to reactivate a closed account.

The Learner Portfolio is designed to provide active learners with ongoing access to their courses, Certificates of Completion and Professional Development Register.

Account inactivity

To keep learner records current and maintain an active learning environment, Learner Portfolio accounts that remain inactive for 12 consecutive months may be closed.

An account is considered inactive when:

  • no new course has been commenced; and
  • there are no courses in progress awaiting completion.

Accounts with courses currently in progress are not considered inactive.

Reminder notifications

Before an inactive Learner Portfolio is closed, ForgeSkills will send reminder emails to the registered email address:

  • 60 days before the scheduled closure date
  • 30 days before the scheduled closure date
  • 7 days before the scheduled closure date

These reminders will explain why the account is scheduled for closure and encourage learners to:

  • commence or complete any outstanding courses
  • download any Certificates of Completion stored in their Learner Portfolio
  • download or print their Professional Development Register
  • ensure their learning records are up to date before the account is closed

Account closure

If the Learner Portfolio remains inactive after the reminder period, the account may be closed. Once closed, the learner will no longer be able to access:

  • their Learner Portfolio
  • Certificates of Completion stored within the portfolio
  • their Professional Development Register
  • course history held within the account

Learners are therefore encouraged to download any records they wish to retain before the scheduled closure date.

Reactivating a closed account

A closed Learner Portfolio may be reactivated within three (3) months of the account closure date by contacting ForgeSkills.

After this period, learner records may no longer be available and a new Learner Portfolio may need to be created.

Why do we have an inactivity policy?

The Learner Portfolio is intended for active learners. Periodically closing inactive accounts helps maintain an accurate and efficient learning platform while encouraging learners to keep their professional learning records current. Regular reminder emails are provided to ensure learners have ample opportunity to retain their records before an account is closed.
